Polaris PSA’s latest release puts more control in the hands of billing teams and project managers, with powerful updates that simplify invoice management, improve audit readiness, and support smarter workflows. Whether you're managing complex billing processes or streamlining approvals, these updates help teams work faster, and with greater clarity.

Here’s what’s new this quarter:

Customizable Sub-Statuses for Billing Drafts

Managing billing drafts just got more flexible.

You can now define and apply your own sub-statuses within billing drafts, like Pending PM Review, Internal QA, or Ready to Send. This allows teams to track internal handoffs, mimic simple approval flows, or categorize drafts for better visibility, all without adding complexity to your billing process.

This enhancement was directly shaped by customer feedback. Now, finance and delivery teams can collaborate more confidently before an invoice is finalized.

Role-Based Filtering on Task Rate Cards

Rate selection just got smarter.

A new role filter on task-based rate cards helps users quickly zero in on the most relevant rates for each task. This makes it easier for billing teams to ensure accuracy and apply the correct labor categories, especially in complex or multi-role projects. Originally requested via TPS, this feature streamlines workflows and aligns with real-world delivery structures.

Project and PM Visibility on Available to Bill

Greater transparency, fewer billing errors.

The Available to Bill capability now displays project names and project manager details for each billing row. Whether you're grouping billing by project or consolidating by client, this added visibility helps users understand exactly what’s being billed, and by whom, with no guesswork involved.

Units and Rates on Custom Billing Lines

More flexibility, less manual calculation.

Billing teams can now enter units and rates directly on custom/ad hoc line items, with Polaris calculating totals in real time. You can also edit descriptions, quantities, or rates inline, without leaving the billing screen. This update also:

  • Prints new fields directly on customer-facing invoices
  • Prepares Polaris for stronger reporting and export compatibility
  • Supports metadata syncing for integrations like QuickBooks and Xero (report fields coming soon)

This brings full feature parity with Gen 3 Polaris, and a much smoother billing experience overall.
