What is Deltek Vision Connect for Microsoft Outlook?

Vision Connect for Microsoft Outlook is a new module that integrates Deltek Vision processes and data into Outlook. The solution enables business development and marketing professionals to perform important and common Deltek processes directly in Outlook.

What versions of Outlook are currently supported?

Vision Connect requires Microsoft Outlook 2003, 2007 or 2010 connecting to Microsoft Exchange Server 2003, 2007, 2010 or to a POP3/SMTP email server/service. Exchange is not required for Connect for Microsoft Outlook.

Does Vision Connect for Microsoft Outlook replace MODI (Microsoft Office Desktop Integration?)

Vision Connect for Microsoft Outlook does have improved features for handling the email related activities currently performed by MODI, so there is no longer a need to use MODI within Microsoft Outlook. However, MODI will still be available, and will be the primary means for integrating Vision with the other Microsoft Office products.

 
Does Vision Connect for Microsoft Outlook replace Sync Server?

Yes, but Vision Connect for Microsoft Outlook has functionality that extends well beyond Sync Server. As a result, Sync Server customers will have to purchase Vision Connect for Microsoft Outlook – and Deltek offers a transition program for Sync Server Customers to migrate to Vision Connect for Microsoft Outlook.

Can clients using IBM Notes use Vision Connect for Microsoft Outlook?

Vision Connect for Microsoft Outlook is only available for Microsoft Outlook 2003, 2007 and 2010. Microsoft Office 365 and IBM Notes is not supported.

What version of Vision is needed to use Vision Connect for Microsoft Outlook?

Vision Connect for Microsoft Outlook will only be offered for Vision 6.1 SP3 or higher. All Vision Connect for Microsoft Outlook users must have plans to upgrade prior to using this new module.

Is Vision Connect for Microsoft Outlook supported in other languages?

Currently, Connect for Microsoft Outlook only support US English. If a company has a multi-lingual configuration, Connect for Microsoft Outlook can be used but will only work with US English.

Does Vision Connect for Microsoft Outlook support mobile devices?

Vision Connect for Microsoft Outlook is not implemented to support any mobile devices. The native functionality available within Connect for Microsoft Outlook does not extend to mobile devices in any way. However, because Connect for Microsoft Outlook integrates and manages native Outlook contact data, contact data that is shared via Connect for Microsoft Outlook will synchronize (via ActiveSync or BES) to mobile devices in the same manner as native Outlook contact data. This means that contacts that synchronize from Vision to Outlook via Connect for Microsoft Outlook can then synchronize to mobile devices. However, when this contact data is viewed on mobile devices, only native Outlook fields will be present. Vision CRM-specific fields and grids will not be visible within these contact records on mobile devices. Please refer to the Connect for Microsoft Outlook Installation Guide for more information and for details on a specific iPhone related limitation.

Does Vision Connect for Microsoft Outlook support user defined fields and grids?

As purchased, Connect for Microsoft Outlook does not recognize or display user defined fields or grids. However, Connect for Microsoft Outlook does support the inclusion of user defined fields and their includsion can be accomplished through a customization consulting engagement with Deltek Global Services. Through such a custom engagement, user defined fields and grids can be added to the Connect for Microsoft Outlook forms and will function just like standard fields and grids.

 

Technical and Implementation

Is Microsoft Exchange required to use Vision Connect for Microsoft Outlook?

This platform supports Microsoft Outlook use through pst files, as well as Exchange. Exchange use is not required.

Can I use another email Server such as GMail or Yahoo Business Email with Vision Connect for Microsoft Outlook?

Yes, as long as your email server/service supports POP3/SMTP connections from the Microsoft Outlook 2003, 2007 or 2010 client.

 
Do we need to install Vision Connect for Microsoft Outlook on each end user machine?

Yes, Vision Connect for Microsoft Outlook must be installed on each user's machine. This installation can be run via an administrative batch function, and must be installed before Vision Connect for Microsoft Outlook can be used.

 
How does the local installation work for Vision Connect for Microsoft Outlook?
  • Installs locally into each users' Windows Profile.
  • Does not interact directly with Exchange Server. The application interfaces with the mailbox via the Microsoft Outlook client.
  • Installed as a Microsoft Outlook AddIn and connects and makes changes to the users mailbox configured by the mail profile to support the additional schema required for storing Deltek data.
  • Can only be installed to one Outlook mail profile at a time.
  • Exchange is not required if users are using PST files (cases where clients are using POP3/SMTP)
  • Supports and requires that each Users Outlook be configured to connect to a mail server backend supporting PST File (POP3,SMTP) or Exchange Server 2003/2007 (Cached Exchange Mode Only, which stores the data in local OST files in the users' Outlook Profile).
  • IMAP is not supported
  • During installation and initial configuration, it updates the local PST and OST files (which have very similar data structure) and are typically located here: “%UserProfile%\Local Settings\Application Data\Microsoft\Outlook”
  • Does not support multiple installations on different machines to the same Exchange Mailbox. (you cannot install Connect for Microsoft Outlook on your laptop and your desktop to the same mailbox)
Are there core Vision CRM changes that are a part of the Vision Connect for Microsoft Outlook module?

There are new screens in configuration for setting de-duplication rules, additional information stored in activities, and extensive changes to the APIs that were made to support Vision Connect for Microsoft Outlook. These changes will be released as a part of Vision 6.1, Service Pack 3 for Vision and Costpoint CRM.

 
Does Vision Vision Connect for Microsoft Outlook support Outlook Web Access or Outlook Anywhere?

Outlook Web Access (OWA) can be used with Connect for Microsoft Outlook. However, OWA will only provide access to native Outlook items and fields. The Connect for Microsoft Outlook-enabled items and fields (Clients, Opportunities, Activities, etc.) are not available through the OWA interface.

Outlook Anywhere® provides connectivity between Outlook and Exchange Server via the Internet, without the need for a direct or VPN connection to the corporate network. Connect for Microsoft Outlook is not reliant on the Outlook Anywhere connectivity model. As long as Connect for Microsoft Outlook has a connection to the Vision application server (either through the LAN, WAN, Internet or VPN) it will function properly regardless of whether Outlook is connecting to an Exchange Server via a direct connection or through Outlook Anywhere.

How is Vision Connect for Microsoft Outlook licensed?

Vision Connect for Microsoft Outlook is available in a term license allowing you to get the number of licenses you need on a per year subscription.
