Deltek's Professional Services ERP Solution Helps Medical Publication Planning Agency Increase Organizational Visibility & Efficiency
The Challenge
For over 15 years, Complete Healthcare Communications (CHC) has helped some of the world's largest pharmaceutical and biotechnology firms bring their products to market. As a leading medical publication planning agency, CHC has honed the systems and skills needed to develop the Publication Plan, a document that CHC calls "the intellectual heart of pharmaceutical marketing." CHC employs a team of over 100 professionals skilled in medical writing, account service, and project management, and works with other affiliated organizations such as their spin-off company, Complete Publication Solutions (CPS).
A Deltek customer since shortly after the company's inception, CHC was a loyal user of Deltek legacy solutions. However, the addition of other software products to their business such as SharePoint, MS Project, and Outlook led to wasted time and duplicate efforts importing project information into their legacy accounting system, and vice versa. In addition, with the opening of CPS, CHC needed multi-company functionality to produce financials for both companies in a seamless manner.
An added complication was the acquisition of CHC by MediMedia, USA (MMUSA), which uses Oracle software. Reporting to the parent company was complicated since CHC's legacy systems were incompatible with Oracle. "It took weeks to pull together reports, and we were constantly worried about missing the deadline," reported Barbara Kotcamp, Controller for CHC.
CHC needed an integrated, advanced solution that not only increased reporting capability, transparency and data integrity within their organization, but also across their affiliated companies.
The Solution
CHC senior management decided to upgrade from their legacy Deltek applications and implement Deltek's fully-integrated ERP solution that is purpose-built for healthcare consulting firms. "The combination of features, strong support, good service, and familiarity made choosing Deltek a no-brainer," Kotcamp said. "The other solutions we looked at just didn't offer the same flexibility or ease-of-use."
Specifically designed for professional services firms, the solution automates and integrates the planning, tracking, and administration of both resources and projects, with powerful features like web access for remote or work-at-home employees and customized reporting for everyone from accountants to executives. CHC implemented Deltek's accounting and project management modules and is in the process of implementing CRM. Many of the legacy databases and systems are now being phased-out.
"Some of the best features of Deltek are the ones that save us time, features such as integrated project budgeting, mobile time and expense access, and easy-to-use reporting capabilities," said Kotcamp. "Those are the ones we really love around here."
The Benefit
One year after converting from a legacy solution to Deltek's professional services solution, CHC has completed internal training and is experiencing the difference Deltek makes in every part of its business. For example, the data and reports that MMUSA required – that previously took weeks to develop – are now complete and accurate in under an hour, saving 40 man-hours a month.
Additionally, with the opening of CPS, the multicompany functionality within Deltek allows CHC to accurately produce financial statements for both companies.
Deltek's cutting-edge professional services ERP solution helps CHC build precise estimates and budgets, and accurately project revenue and resource utilization. CHC's project budgets are now entered into a single database that eliminates the need for accounting to import or re-enter data that used to occur within their old accounting environment.
Resource planning has also been improved, allowing CHC to service clients more efficiently and maintain high productivity levels among its staff. Customized reporting makes it easy for CHC to present information as needed to numerous internal and external audiences. The implementation of the CRM module will further enhance the types of information and reports available across the organization.
Overall, the team at CHC is extremely pleased with their decision to move to the new Deltek solution and is very excited for what the solution can do into the future as well. "It's been a smooth transition, training was simple, and now we can focus on our next goal: Our CRM implementation," Kotcamp concluded.
